Client–Coach Agreement (2025)

This agreement sets out the commitments and expectations between Metabolic Birmingham (“the Coach”) and you (“the Client”) to ensure we build a strong, supportive, and effective training relationship.

By signing this agreement, both parties confirm their understanding and commitment to the terms below.

1. Membership Commitment

  • All memberships begin with a minimum 3-month commitment. This ensures you give your body, habits, and confidence the time they need to change.

  • After 3 months, your membership will continue on a rolling monthly basis, unless cancelled with 30 days’ written notice.


2. Holiday & Absence Policies

  • Client Holiday: Once you’ve been a member for 3 months, you’re entitled to 4 weeks of holiday credit per year. If you notify us in advance, we’ll credit or refund the value of unused sessions for that week.

  • Coach Holiday: Metabolic Birmingham will close for 2 weeks each year to allow coaches to take annual leave. These breaks will always be communicated with at least 6 weeks’ notice. Membership fees already account for this, so there is no loss of value.

  • Session Cancellations: Clients must give at least 4 hours’ notice to cancel a session without losing their credit.

  • Missed Sessions by Coach: If we cannot deliver a scheduled session (outside planned holidays), you’ll receive a credit valid for 8 weeks.

  • Pausing Membership: Membership can be paused for up to 4 weeks per year in cases of illness, work, or personal circumstances.


3. Payments & Fees

  • All memberships are paid monthly in advance via direct debit or card.

  • Payments are non-refundable, except where holiday credit/refund applies.

  • It is the Client’s responsibility to ensure payment details are valid and up to date.


4. Coach Commitments

We commit to:

  • Providing safe, structured, progressive training in small-group sessions.

  • Supporting you through ongoing coaching, testing, and feedback.

  • Maintaining a positive, private training environment where every client is known by name.


5. Client Commitments

You commit to:

  • Attending sessions consistently and communicating cancellations as per policy.

  • Following training and nutrition guidance to the best of your ability.

  • Respecting the studio, coaches, and fellow members.

  • Accepting responsibility for your own health and notifying us of any medical conditions or changes.

6. Health & Liability

  • You confirm you have completed a PAR-Q (Physical Activity Readiness Questionnaire) and disclosed any relevant medical history.

  • You agree that participation is at your own risk, and while we provide safe and structured coaching, Metabolic Birmingham is not liable for injuries resulting from failure to follow guidance or from undisclosed health conditions.


7. Code of Conduct

We are committed to creating a supportive, respectful, and results-focused environment.

  • No judgment, intimidation, or disruption will be tolerated.

  • Confidentiality is respected — what’s shared in the group stays in the group.

8. Media & Data

  • Photo/Video Consent: I consent to Metabolic Birmingham using photos/videos for coaching and marketing purposes.
